HostelCare

HostelCare is the mobile companion to the HostelCare hostel-management platform. If your hostel already runs on HostelCare, sign in with the account your hostel admin gave you and carry the whole operation in your pocket. FOR HOSTEL STAFF Overview — occupancy, outstanding dues, net for the month and student count at a glance, plus a "needs attention" list that tells you what to fix: students without a bed, unpaid invoices, occupied rooms with nobody billed, a mess fee still set to zero. Getting started — a short setup checklist: add rooms and beds, set rent, onboard students, set the mess fee. Rooms & beds — create rooms floor by floor, add their beds, search by room number or type, and switch between a map view and a list view. Hold a bed, release the hold, assign a student, or move one out. Students — onboard a student with their name, email, phone and guardian details, attach an ID proof (JPG, PNG or PDF) and a photo, assign a bed, and edit their profile later. Occupancy — beds at a glance, by room, with occupied, vacant and reserved counts. Rent & invoices — generate monthly rent and mess invoices for a period, see what was collected and what is outstanding, and record a payment by cash, UPI, card or other with an optional note. Expenses — record monthly expenses under mess, maintenance, utilities, salary and other categories, and review the period total. Mess — set the weekly menu for breakfast, lunch and dinner, and set the monthly mess fee, which bills prorated on attendance. Notices — post announcements for the hostel under a general or mess category, and delete them when they are no longer needed. Analytics — trends across occupancy, revenue against expenses, dues and collection, and mess attendance over recent months. Biometric — register ESSL terminals by serial number and purpose, see live presence, and review punch history. Device API keys can be issued and rotated. Staff & roles — add wardens and mess admins, and build custom roles from granular permissions such as manage rooms, manage students, manage rent, manage mess, post notices, view analytics and manage devices. The app shows each person only the sections their permissions allow. Properties — hostels with more than one building can switch the active property, and everything in the app follows that choice. FOR STUDENTS My Room — your room, floor, bed and bed status, the property you are in, and the guardian details on record. My Dues — your rent and mess invoices, with total billed, paid and outstanding, each invoice's amount, balance and due date. Mess — this week's menu, and the ability to opt out of days you will be away so you are not billed for them. Notices — announcements from your hostel. REQUIREMENTS HostelCare is a business tool, not a consumer marketplace. It does not offer sign-up inside the app: accounts are created by a hostel administrator on the HostelCare platform. Super Admin accounts are managed on the web dashboard and cannot sign in here.
